Student Records:
AVI guarantees the right of students to have access to their files. All grades, records and academic documents presented to students are placed in student’s files. Other materials may be included, with student knowledge. Student records are considered confidential and will not be distributed to a third party without a written release from the student.
The Director screens all applications for completeness and will then select applicants. AVI will notify applicants promptly when the decision on their application is made. AVI Career Training makes NO exceptions to it’s admission policy. Detailed information of Admissions policy is in School Catalog that can be found Online in AVI portal
AVI Career Training is committed to providing educational opportunities to all individuals who meet the necessary qualifications. Our admissions policy is designed to ensure that students are placed in programs that align with their skills, goals, and educational background.
For all programs that require full tuition payment in advance, refunds will be calculated on a quartile basis in accordance with 8 VAC 40-31-160(N)(9):
First Quartile (0–25%)
If a student withdraws or is terminated during the first 25% of the program, they are entitled to a minimum refund of 75% of the total program cost.
Second Quartile (25–50%)
If a student withdraws or is terminated after completing more than 25% but less than 50% of the program, they are entitled to a minimum refund of 50% of the total program cost.
Third Quartile (50–75%)
If a student withdraws or is terminated after completing more than 50% but less than 75% of the program, they are entitled to a minimum refund of 25% of the total program cost.
After 75% Completion
No refund is owed if a student withdraws or is terminated after completing 75% or more of the program.
Non-Refundable Fees
A $100 non-refundable application/registration fee applies to each program. Books, supplies, and materials, once distributed to the student, are not refundable.
Date of Determination & Refund Timing
The Date of Determination is the student’s last day of attendance, including the expected return date following an approved leave of absence. All refunds due to Title IV funds, students, or other agencies will be returned within 45 days of the Date of Determination.
Mitigating Circumstances
In cases of documented mitigating circumstances, the School Director may authorize a refund greater than the amount determined by this policy.
Refunds for Books and Materials and other expenses
Once received by the student, books and other materials are the property of the student. Once distributed, the school does not accept merchandise returns and makes no refunds for these items.
The Financial Aid Office is required by federal statute to recalculate federal financial aid eligibility for students who withdraw, drop out, or are dismissed before completing 65% of a payment period. The federal Title IV Financial Aid Program must be recalculated in these situations. If a student leaves AVI Career Training before completing 65% of the payment period or term, the financial aid office recalculates eligibility for Title IV funds. Recalculation is based on the percentage of earned aid using the following Federal Return of Title IV funds formula: Percentage of a payment period or term completed = the number of hours scheduled up to the withdrawal date divided by the total hours in the payment period or term. This percentage is also the percentage of earned aid. Funds are returned to the appropriate federal program based on the percentage of unearned aid using the following formula: Aid to be returned = (100% of the aid that could be disbursed minus the percentage of earned aid) multiplied by the total amount of aid that could have been disbursed during the period or term Period of Enrollment. If a student earned less aid than was disbursed, the school will be required to return a portion of the funds and the student would be required to return a portion of the funds. Keep in mind that when Title IV funds are returned, the student borrower may owe a balance to the school. If a student earned more aid that was disbursed to him/her, the school will owe the student a post-withdrawal disbursement which must be paid within 45 days of the student’s withdrawal.
Refunds are allocated in the following order:
Purpose To establish clear standards and procedures by which AVI Career Training may grant academic credit or course completion for an applicant’s documented prior learning and occupational experience, in compliance with 8 VAC 40-31-160(D)(1).
2. Scope This policy applies to all applicants seeking admission to any certificate or diploma program offered by AVI Career Training.
Definitions
• Prior Learning Assessment (PLA): A process by which an applicant’s nontraditional learning—such as work experience, military training, industry certifications, or independent study—is evaluated for academic credit.
• Clock-Hour Credit: Credit awarded based on documented hours of prior experience, calculated according to program clock-hour requirements. • Maximum Allowable Credit: No more than 25% of the total clock-hour requirement for any program may be awarded through PLA.
AVI Career Training Students may appeal any negative decisions regarding enrollment, grades, or academic policies according to the following:

Veterans and other eligible persons to report a grievance against the school to the Virginia State Approving Agency and US Department of Veterans Affairs. “The Virginia State Approving Agency (SAA) is the approving authority of education and training programs for Virginia. Our office investigates complaints of GI Bill beneficiaries. While most complaints should initially follow the school grievance policy, if the situation cannot be resolved at the school, the beneficiary should contact our office via email saa@dvs.virginia.gov.”
The student will not be subject to adverse actions because of initiating a complaint.
A student whose training has been interrupted for failing to make satisfactory progress may apply to the school’s Director for reentry. Students seeking reentry will be counseled by their faculty advisor before they are readmitted for reinstatement. A student will not be making satisfactory progress until they meet the satisfactory progress standard or until they win an appeal. A student who wishes to file an appeal of the schools’ decision must do so with the School’s Director within ten (10) days of receiving the decision. The Director will present the appeal to the Financial Aid Committee for review. The Committee may call the student forward for further investigation of the case. The Committee will report their findings to the Director for his final decision. The decision of the School’s Director is final. A student’s aid will be reinstated only if an appeal is won or the student returns to satisfactory progress.
